Messaging Tools: Canned Responses, Templates & Attachments in ChatSyncs
The message composer's tools for replying faster — saved responses, message templates, and file attachments.
On this page
Beyond plain text, the ChatSyncs Shared Inbox message composer has tools built for replying quickly and consistently.

- Send Flow or Message Template — trigger a bot flow, or send an approved Message Template when the conversation is outside the 24-hour window.
- Canned Response — insert a saved reply instead of typing it out again.
- File Attachment — attach a file to the message.
- Emojis, AI Assistance, and Voice Message — additional icons in the composer's reply bar. See AI Translation & Message Rewrite for the AI option.
Example: A customer asks "Can you send your price list?". Instead of typing it out, the agent picks the saved Canned Response for pricing and sends it instantly.
Send a Bot Flow or Message Template#
Click the + icon and select Send Flow or Message Template:

The panel that opens has three tabs: Bot Flow, Message Template, and WhatsApp Flow.
Bot Flow#

Pick any existing bot flow to trigger it directly in this conversation — the same flows used in Keyword Replies. You're then asked when to send it:

Choosing Send Later opens a scheduler:

Message Template#

Pick an approved Message Template — this is what reaches a customer outside the 24-hour window, since regular text can't. If the template has buttons or variable placeholders, ChatSyncs asks you to fill them in before sending:

Example: the system_cod_order_verification_new template has Confirm Order and
Cancel Order buttons (each mapped to a bot flow to run when tapped) plus variables like
system-cart-product-list and system-shipping-address — fill in the real order details, then
Submit.
Just like a bot flow, you're then asked when to send it:

Send Later works the same way as a bot flow — pick a date, time, and timezone.
WhatsApp Flow#

The third tab sends a WhatsApp Flow form the same way — pick one, and it's delivered to the customer to fill out inside WhatsApp.
File Attachment#
Click the + icon and select File Attachment:

Upload a file to send it directly in the conversation.
Create a Canned Response#

The composer itself hints at this feature — its placeholder text reads "For canned response type '/'". Or just click the + icon and select Canned Response:

Before using one, create it:

Click Add New
Opens a blank Canned Response form.
Name it
An internal name to find it by later, e.g.
Welcome message.Write the Message
Insert a custom field by clicking custom, then picking a field:

Upload images (optional)
Attach up to 5 images, each under 2 MB.
Click Add
Saves the Canned Response, ready to use in any conversation.
Example — a real Welcome message:

Hi #LEAD_USER_FIRST_NAME# 👋
Welcome to ChatSyncs! How can we help you today?Manage and use Canned Responses#

Every saved Canned Response appears in a list with Use, Edit, and Delete actions — edit or remove one at any time without affecting messages already sent.
The fastest way to use one: type / directly in the composer instead of opening the + menu.

Typing / shows a matching list of saved responses right above the composer — pick one to insert it instantly, no need to open the + menu at all.
Frequently asked#
How do I reply with the same message I send to every customer who asks the same question?
Use Canned Response in the composer instead of typing it fresh each time.
Can a Canned Response include images, or just text?
Both — attach up to 5 images to a single Canned Response, each under 2 MB, alongside the message text.
Can I schedule a bot flow or template to send later, instead of right now?
Yes — after picking a flow or template, choose Send Later instead of Send Now, then set a date, time, and timezone. For a bot flow specifically, remember it's a session message — if the subscriber's 24-hour window has closed by the scheduled time, delivery can fail.
Why can't I just type a plain reply to some customers?
If the conversation is outside WhatsApp's 24-hour service window, a plain reply won't deliver — use Send Flow or Message Template to send an approved template instead. See Managing Customer Data with Custom Fields for how to check a conversation's messaging window status.
