Understanding Conversations and Their Types in ChatSyncs
How your template's category decides what WhatsApp charges you when it's sent — Meta now bills every delivered message by category (per-message pricing since July 2025, not per 24-hour conversation), and since October 1, 2026 replies and utility templates inside the 24-hour window are charged too.
On this page
- Every WhatsApp template you send is billed on its own when it's delivered — Meta charges per message, not per 24-hour "conversation" (that older model ended on July 1, 2025).
- What each template costs is decided by the Template Category you picked when you built it, plus the customer's country.
Full billing rules: Message Categories & Pricing. This page focuses on the practical side of that choice inside ChatSyncs.
Why the Template Category field matters beyond approval#
When you fill in Template Category in the Message Template builder, you're not just satisfying Meta's review — you're choosing the rate Meta charges every single time that template is delivered:
| What you send | Meta category | Typical cost |
|---|---|---|
| Marketing template | Marketing | Highest |
| Utility template | Utility | Lower — same list rate as Authentication and Service, with volume discounts |
| Authentication template | Authentication | Same list rate as Utility (some countries have a higher international rate) |
| (free-form reply inside the 24-hour window, no template) | Service | First 1,000 per number per month free, then charged (since Oct 1, 2026) |
Every template is a separate charge#
Because Meta bills per delivered message, there's no "already open conversation" that makes the next template free.
Example: You send an order confirmation as a Utility template, and two hours later a discount offer as a Marketing template to the same customer. That's two charges — one at the Utility rate, one at the Marketing rate. Sending a second Utility update the same day is a third charge.
Since October 1, 2026 this is true inside the 24-hour customer service window as well: a Utility template sent while the customer is chatting with you is charged, and your free-form replies count toward the number's 1,000 free service messages for the month.
Practical tips for ChatSyncs users#
- Encourage customers to message you first. Your replies are service messages — 1,000 free per number per month, then charged at a lower rate than Marketing. Use a Chat Widget link or a QR code to get them talking to you rather than the other way around.
- Run Click-to-WhatsApp ads for high-volume flows. When a customer arrives from a Click-to-WhatsApp ad and you reply within 24 hours, Meta opens a Free Entry Point window (up to 7 days) in which every message to that customer is free.
- Send fewer, better templates. Every delivered template is charged, so merge updates where you can instead of sending several small ones.
- Reply within the 24-hour window when a customer messages first. Once that window closes, you need an approved template (and a charge) to re-engage — see Templates to Restart Conversations After Non-Working Hours for ready-to-use templates for exactly this situation.
- Default to Utility over Marketing when the message genuinely qualifies. It's cheaper and gets approved more easily — see Utility vs. Marketing templates for how to tell which one your message actually is.
Frequently asked#
Why did I get charged twice for messaging the same customer today?
Because Meta charges per delivered message. Two templates — for example a Utility order update, then a Marketing offer — are two charges, each at its own category's rate. Even two templates of the same category are two charges.
Does picking Utility instead of Marketing actually save money?
Yes. Utility messages cost less than Marketing in every country on Meta's current rate card. Authentication (OTP) messages have the same list rate as Utility. Only pick Marketing when the message is genuinely promotional — see Utility vs. Marketing templates.
If a customer messages me first, is replying free?
Partly. Your free-form replies inside the 24-hour window are service messages: since October 1, 2026 each number gets 1,000 free per month, and every service message after that is charged. A Utility template sent inside the window is charged too. Once the window closes you need a paid template to message the customer again.
How do I keep messaging costs down across a lot of customers?
Default to Utility for anything genuinely transactional, avoid sending templates you don't need, and use Click-to-WhatsApp ads so conversations start inside a free Free Entry Point window. Keep a payment method on file in Meta so replies keep going out after the free 1,000.
